Invoice Number Formats: Examples and a Simple Numbering System

Invoice Basics Oct 19, 2026 By Sami Khan

What is an invoice number?

An invoice number is a reference that identifies one invoice in your records. Put it near the issue date and use it in payment references, filenames, and follow-up messages so you and your client can find the same bill.

For example, INV-2026-001 can identify the first invoice in a year-based series. The next reference is INV-2026-002. Keep the full number unique rather than relying on the client's name to distinguish two invoices.

Choose a format you can maintain

Illustrative formats, not a universal compliance rule.
FormatExampleHow to use it
Single sequenceINV-0001Continue with INV-0002 across clients.
Year and sequenceINV-2026-001Keep the year in the full reference if starting a new annual series.
Client and sequenceACME-001Keep a separate register for each client prefix and check the full reference for duplicates.

A single sequence is straightforward to maintain when one person issues invoices. Separate series need more coordination. Leading zeros help references sort consistently: 001, 002, and 010 are easier to scan than mixed-width numbers.

A three-invoice example across two clients

  • INV-2026-001: design work for Client A.
  • INV-2026-002: installation work for Client B.
  • INV-2026-003: additional work for Client A.

The sequence follows issued invoices, not the number of clients. Client A's second invoice does not reuse INV-2026-001. For a detailed breakdown of charges, see the freelance example or the contractor example.

Keep a register to avoid duplicate numbers

  1. Choose one format and record the last issued reference.
  2. Reserve the next reference before sending an invoice, especially when multiple people issue bills.
  3. Record the client, issue date, amount, and status beside the reference.
  4. Check the register before issuing another invoice from a different app or spreadsheet.

A timestamp or suggested number is convenient, but it does not replace a check across all your invoicing records. Avoid putting private client information into the reference.

What about yearly resets and corrections?

If your process permits yearly series, retain the year in the number: INV-2026-001 and INV-2027-001 remain distinct. Check your local requirements before resetting a series or introducing several series.

Before sending a draft, check its number and details. If an issued invoice needs correcting, preserve the original record and follow the correction process appropriate to your accounting system and jurisdiction. Do not silently reuse its number for an unrelated bill. Keep references linking any replacement or adjustment to the original.

Enter the number in the invoice generator

Open the invoice editor, review the suggested Invoice number, and replace it with your chosen reference if needed. Keep a customer's PO number in the separate PO number field. Check the number in Preview invoice before downloading the PDF.

Save the PDF with a recognizable filename such as INV-2026-001.pdf. Sign in if you want to save and reopen the editable invoice; a guest PDF download alone does not save it to an account. For the full process, read how to make an invoice.

Check the requirements for your location

These examples explain an organizational workflow. Requirements vary by location and invoice type. For example, GOV.UK's invoice checklist requires a unique identification number and points to additional requirements for VAT invoices. Use the guidance relevant to your own business.

Frequently asked questions

What is an example of an invoice number?
INV-2026-001 is one example: INV identifies the document, 2026 identifies the year, and 001 is the sequence. Choose a format that fits your records and applicable requirements.
Is an invoice number the same as a purchase order number?
No. Your invoice number identifies your bill. A purchase order number is usually supplied by the customer to identify their order. Keep them in separate fields.
Can I restart numbering each year?
A year prefix can keep full references distinct, such as INV-2026-001 and INV-2027-001. Check the numbering rules that apply to your business before using yearly resets.
Does the editor prevent duplicate invoice numbers?
Do not rely on the suggested number as a duplicate check across your records. Review your invoice register before issuing the invoice, especially if you also invoice through other tools.
