A design project with an upfront deposit
Suppose you agreed to an $800 landing-page design and two additional revision hours at $50 per hour. The client has already paid $300. Keep the project fee and extra hours on separate lines, then enter the received deposit under Paid.
| Service and calculation | Amount |
|---|---|
| Landing-page design 1 project × $800.00 | $800.00 |
| Additional revisions 2 hours × $50.00 | $100.00 |
| Subtotal | $900.00 |
| Deposit already paid | $300.00 |
| Balance due | $600.00 |
The balance is $800 + $100 − $300 = $600. Use Paid only for money already received. Put a requested future deposit in the payment terms instead of subtracting it as if it had been paid.
Choose the right way to describe your fee
Hourly work
Use hours as quantity and your hourly price as rate. Describe the task and billing period, for example “Website maintenance, 1–15 October, 6 hours.” Keep any supporting time record with your project files.
Fixed-price projects
Use quantity one and the agreed project fee. Name the deliverable and scope, such as “Homepage copy: five sections and one revision.” List agreed extras separately.
Milestone billing
Name the milestone being billed, such as “Website design: approved wireframes.” If this invoice covers only that milestone, do not also charge the full project fee on the same invoice.

Freelance invoice questions
Can I use this without a registered company?
The editor accepts your own name or a business name. That flexibility does not establish whether registration is required where you work; use the identity and details that apply to your business.
Can I invoice an international client?
You can select an invoice currency and enter the client's billing details. Agree the currency and payment method with the client first. The tool does not perform currency conversion or collect the payment.
Can I edit the invoice after downloading?
Edit the fields in the browser and download another PDF. Sign in to save the editable invoice for later; a guest download alone does not save it to an account.
